Open the page
On the Members page, press the member's row or choose Member Details from its row menu. The header of the Member Details page carries the member's name, level and status (Active, No Package or Inactive), with phone and email shortcuts. The account status shows only when it has something to say: Invitation Pending while the member has not accepted the invitation yet, No Email for a member added without one.
The figures at the top
The four tiles under the header show where the member stands at a glance. Their color follows the state:
- Classes Left: the credits left on active packages; for a duration package, the classes left this week; for a partner card, the card. Amber at two credits, red once none are left.
- Package Ends: the soonest package end and the days to it. Amber once fewer than 10 days are left.
- Debt: what is still owed and the next due date. Green when nothing is owed, amber while owing, red once a due date has passed. Pressing it opens the payment window.
- Next Class: the next class the member is booked into. Pressing it opens that session.
The Needs Attention card
The Needs Attention card at the top of the main column, beside the profile column, lists what needs your attention about this member now, the most pressing first. When every line is for information only, the card is titled Good to Know; when there is nothing to do, it does not show at all. Most lines carry a button that does the job in one step.
- Overdue payment
- An installment is past its due date. Collect it with the Take a Payment button on the line.
- Payment due soon
- An installment falls due in 3 days or less.
- No active package
- The member has no package in use; assign one before booking them into a class. Not shown for an inactive member.
- Sessions waiting for a package
- The member was added to sessions without a package. Once you assign a package that covers them, they turn into bookings on their own.
- No classes left, or few left
- The credits across the packages are used up, or two or fewer are left.
- Package ending
- Fewer than 10 days are left on a package.
- A make-up credit is expiring
- A make-up credit expires in 3 days or less. Use the Use button on the line to put it on a session.
- Standing seat lines
- For a member with a standing seat in a series: the seat is released today, held while a new package is awaited, or can be resumed. The Go to the Seat button on the line scrolls the page down to Standing Seats on the Classes card.
- Invitation pending
- The member has not activated their account yet. Send a new link with the Resend the Invitation button.
- No privacy consent
- There is no privacy consent on record for the member.
How the page is laid out
Everything about the member is on one page, with no tabs. Under the figures the member's cards stand on the left; the column beside them holds Needs Attention, Active Packages, Classes and Payments, in that order. On a phone the order is the member's cards, Needs Attention, Active Packages, Classes, Payments. A card with no record at all says so in one line.
- The member's cards: Health Note, Studio Note and Member Information. The health note shows only when one was entered; press or hover the lock in its title to see who can read it. The Member Information card holds the gender, the birth date, the join date, the channel, the referring member and the privacy consent.
- Active Packages: each active package with its credits left, or this week's classes, and its validity. The package's make-up credits are one line with the soonest expiry; Use puts the credit that runs out first on a session. A frozen package shows the freeze dates and End the Freeze Early; a package with a freeze still to come shows a Planned freeze line and Cancel the Freeze. The Edit Package button on the right of the package changes its dates, price and classes: Edit a sold package.
- The Classes card: first Standing Seats, only for a member with a standing seat in a repeating series; each seat with its state and actions. More in Standing seats in a series. Then Upcoming Classes: the date, the time, the class, the room and the instructor. The Cancel/Reschedule Class button sits on the card's header. While the member waits in the line of a full session, Waitlist comes next: for each session that has not started, the date, the time, the class, the room and the instructor with the member's place in line; once a spot is offered, the time left to confirm shows instead. Take Off the List asks first, then takes the member out of the line; an open offer passes to the next member. A member waiting in no line gets no such part. More in Manage the waitlist. Last, Past Classes starts closed: its heading shows how many classes it holds and sums up the last 30 days, and pressing the heading lists each class with the same details and its attendance. Each part shows its latest few records; Show all opens the rest in place. Pressing a class name opens the session.
- The Payments card: at the top Total Amount and Paid. What is still owed is the Debt tile at the top of the page; it covers every open installment, with or without a package, and is part of the Total Amount. Under it come Pending Installments while anything is owed, soonest due first, then the Packages sold with their payment state, the Payment History and, if a package was frozen, Freeze History.
Actions on the page
The header carries Assign Session, Take a Payment and Assign a Package. The More actions (⋯) menu holds the rest:
- Edit Member: the profile, the status, the notes and what the Member Information card shows.
- Cancel/Reschedule Class: cancel or move the member's upcoming classes; it shows only while the member has a class scheduled: Cancel or reschedule a class for a member.
- Give Partner Card: Give a member a partner card.
- Freeze Package: shows only while the member has a package in use: Freeze a member's package.
- Resend the Invitation: only for a member whose invitation is pending.
- Delete Member: Owners and Admins only: Delete a member.
