Where do a WhatsApp group and a booking system differ?
A group is a chat tool; it does not hold bookings, it is only where bookings are talked about. You work out who signed up for which class, how many spots are left and whose credit comes off by reading messages. In a booking system every sign-up is a record: capacity is counted per session, a cancellation follows the package rule and a freed spot is offered to the waitlist in turn.
| Criterion | WhatsApp group | Booking system |
|---|---|---|
| Booking | A message in the group; you keep the record | The member books a spot from the schedule |
| Capacity | Counted by hand from messages | A full session closes to new bookings |
| Freed spot | Announced again; the first to reply takes it | Offered to the waitlist in turn |
| Cancellation rule | Applied by hand from the time of the message | Runs on its own from the package's cancellation window and limit |
| Class credits | Kept on a separate list, or not at all | Held at booking, used once the class is held; the member sees what is left |
| Make-ups | Promised in passing, easily forgotten | A cancellation inside the rule returns to the Make-up Pool |
| Reminders | A group-wide message, or none | Each member gets one for their own class |
| Instructor pay | Who came is pieced together from messages later | Calculated from attendance |
| The member's own account | The member scrolls for their booking | The member sees bookings, credits and balance on their own panel |
| Personal data | Group members see each other's phone numbers | A member sees only their own record; access follows roles |
The table describes a group used for bookings rather than for chat, and compares two approaches, not a particular product. For announcements, motivation and community the group still works; what is being compared is who does the counting.
Which studio is a WhatsApp group enough for?
A small studio with fixed times, members who know each other and classes that rarely fill up. Where everyone comes to the same class every week, a cancellation is settled with a quick message and nobody counts credits separately, a group is a free and friendly answer. You know it no longer copes when you start answering the same questions again every week.
- The schedule has a few classes at fixed times
- Most members come to the same class every week
- Classes rarely fill up and no waitlist is needed
- Nobody tracks credits or a cancellation rule separately
- The person running the group is the one teaching
Once more people sign up for a session than it holds and you decide the order by the time on each message, the group has reached its limit as a booking tool.
What is the hidden cost of taking bookings in a group?
The price of a group is the hours spent reading messages. Picking every sign-up and cancellation out of the chat, counting capacity by hand, announcing a freed spot again and keeping remaining credits on a separate list all become your job. A single missed message means a member who arrives to find no spot, or a session that starts half empty; both wear away the studio's reliability.
- Reading messages
- Picking every sign-up and cancellation out of the chat, and checking the list again before each class.
- Missed messages
- A cancellation or sign-up lost in between; a member arrives to find no spot, or a held spot stays empty.
- Empty spots
- A spot freed by a late-night cancellation stays empty until it is announced in the morning.
- Uncounted credits
- Who came to how many classes does not show in a group; without a separate count, a member whose package has run out gets classes for free.
- Writing in public
- A personal excuse or a health reason is written in front of the whole group.
These items carry no figure, because every studio is different. Counting for a week how many booking messages you answer in the group shows your own cost.
What changes for members with a booking system?
Members stop messaging for a spot and book it themselves. They see open spots in the schedule on their phone, cancel or move a class inside the rule and join the waitlist for a full session. Confirmations and reminders reach them one to one, and writing in front of everyone, scrolling for their own booking and seeing other people's phone numbers all come to an end.
- Sees the schedule and open spots on their own phone
- Books their own spot; joins the waitlist for a full session
- Cancels inside the rule or moves a class to another session
- Gets the confirmation and class reminder one to one, without scrolling a group
- Sees their remaining credits and package end date
- Their phone number stays hidden from other members
What are the steps from a WhatsApp group to a booking system?
Five steps: define the classes, rooms and capacity, set up the packages with their cancellation rules, put the weekly schedule on the calendar, bring the members over with their remaining credits, then announce the cutover date in the group with a single message and send the invitations. After that date no bookings are taken in the group; it can stay open for announcements and chat.
Define classes and rooms
Enter each hall as a room with its capacity and define the classes with their length and level; from now on the system counts the spots.
Set up packages with their cancellation rules
Write the credits, validity, cancellation window, cancellation limit and make-up permission into the package definition; the rule that lived in the chat is now written down.
Put the weekly schedule on the calendar
Set each class up as a recurring series with its day, time, room and instructor; the calendar warns about a clash before it saves.
Bring members over with their remaining credits
Move the member list and open packages across with the help of Dakik's team; confirm each member's remaining credits with them before the switch.
Announce the cutover date in the group
Say in one short message from which date bookings are made and where, send the invitations, and give out no spots in the group after that date.

What job does WhatsApp keep in Dakik?
WhatsApp stops being the place for bookings and becomes a notification channel. The studio links its own phone number by scanning a QR code in the settings; booking confirmations, class reminders, cancellations and waitlist messages then reach each member one to one from that number. Each template chooses WhatsApp or push, and with no link in place the notification still shows inside the app.

Frequently asked questions
Do I have to close the WhatsApp group when I move to a booking system?
No. The group can stay for announcements, motivation and chat; the only change is that no spots are given out in it after the cutover date. Taking bookings in two channels means counting capacity by hand again. Writing where bookings are made into the group description points new members to the right place too.
Which number do Dakik's WhatsApp messages come from?
The studio's own number. It is linked by scanning a QR code with the phone on the WhatsApp screen in the settings, so members receive messages from the studio number they already know. With no link in place no WhatsApp message is sent, and the notification still shows inside the app.
How does a member who does not use WhatsApp get reminders?
Through the app. Dakik runs in the browser; once a member adds the link to their home screen they can receive notifications as push, and every notification also shows on their own panel. Because each template chooses WhatsApp or push, you can balance the two channels to suit your studio.
What if a member still asks for a spot in the group out of habit?
Staff book them from the panel and the rule applies as usual: a credit is held at booking, and if the session is full staff cannot squeeze them in either. This happens often in the first weeks; pointing the member to their own panel with a short note each time changes the habit.
Do members see each other's phone numbers in a booking system?
No. On their own panel a member sees only their own bookings, credits and balance; the member list and contact details are open to the studio's staff. In a group every participant sees everyone's number. Protecting personal data is a quiet but important result of taking bookings out of the group.
