Open the Session Members window
Members are added and removed in the Session Members window. You can open it in these ways:
- In the Week or Month view, press the card of a session that has not started.
- Choose Manage Members in the "⋯" menu of the session card.
- Press Manage Members in the member summary that opens when you hover over the card.
- The window opens on its own when you save a new session or series.
Add a member
Type the member's name, phone number or email in the search box.
The members are judged for this session; each row shows the credits left, the package end and an eligibility verdict.
Read the verdict on the row (explained below).
Press Add on the member's row. If the session belongs to a series, choose This session only or Standing member of the series in the menu it opens.
The message "The member is added to the session" appears and the member moves to the Registered list.
With Standing member of the series, the member is placed in this session and every later session of the series. The message says how many sessions got a spot, how many are awaiting a package and how many were skipped because they were full.
Eligibility verdicts
Dakik judges each member against their packages and the session. The verdict on the row tells you what happens when you press Add:
- Eligible
- The member is added and a credit is set aside from their package.
- Added as Awaiting Package
- No package of the member covers this session (no active package, the class is outside the package, no credits left, or a limit is reached). The member is added anyway, but the spot is held as Awaiting Package and turns into a reservation once a fitting package is assigned.
- Not Eligible
- A session rule refuses the member: the level does not match, or the member has another reservation at the same time. Adding them needs a written reason.
- At capacity
- The session has no free spot. You can add the member to the waitlist.
- Package frozen on this day
- The member's package is frozen that day. They cannot be added to this session.
Assign a package to a member added as Awaiting Package as described in Sell a package to a member; the waiting bookings are paid from that package.
Add an ineligible member with a reason
Press Add on the row of a member marked Not Eligible.
The Add an ineligible member window names the rule in the way.
Under Reason, write why you are going past the rule.
Press Acknowledge the Warning and Add.
The member is added and the reason goes into the audit log.
Members paying with a partner card
A member whose spot a partner card pays for carries a Partner tag. Press or hover over it to see the program, the card number, what the partner pays per class and any extra fee.
If the program charges the member an extra fee, a "Collect extra fee" button with the amount appears on the member's row. Pressing it opens a payment window with the amount and the description filled in.
Remove a member from a session
In the Registered list, press Remove next to the member.
The Remove the member from the session window opens.
Choose an option under Refund. Treat as never booked is selected to start with.
If the member is a standing member of the series, choose Remove from this session only or Remove from the series under Removal scope.
Press Remove.
The message "The member is removed from the session" appears; the member and the instructor are notified.
- Treat as never booked
- The reservation is deleted as if it was never made; no make-up credit is created and the credit goes back to the package. Right for a member added by mistake.
- Studio-caused
- The credit goes back to the member's package; a seat paid with a make-up credit becomes a new make-up credit. Choose it when the change comes from the studio.
- Member-caused
- The package's cutoff and frequency rules apply, as if the member had canceled themselves.
- Remove from this session only
- Only the spot in this session is refunded; the standing place in the series carries on.
- Remove from the series
- The series membership ends: this session closes with the chosen refund, and the later classes are treated as never booked and go back to the package as credits.
Assign sessions from the member's page
When one member goes into several sessions, starting from the member is quicker. The rules are the same as in the Session Members window.
Choose Assign Session in the member's row menu on the Members list, or on the member's page.
The Assign Sessions to a Member window opens with the planned sessions of the next four weeks, judged against this member's package.
If you like, narrow the list with the Class, Instructor and Days filters.
If the session belongs to a series the member is not standing in, choose This session only or Standing member of the series.
Press Assign on the session's row.
The message "The member is added to the session" appears and the row reads Booked.
