What a rule override is
Packages decide when and how often members may cancel and reschedule. If something you do on a member's behalf runs into one of those rules, Dakik stops and names the rule. An Owner or Admin can go past the block by writing down why; that is a rule override.
- Only people in the Owner and Admin roles can override a rule. Staff see the note "This action needs Owner or Admin approval." beside the block.
- The Reason field is required.
- The rule that blocked the action and the reason are written to the audit log, along with who did it.
Which rules can be overridden
| Action | Where | Rule it can pass |
|---|---|---|
| Cancel a class on the member's behalf | Cancel/Reschedule Class › Cancel (to the Pool) | Cutoff passed, Allowance used up, No make-up credit, Reschedule only |
| Reschedule a class on the member's behalf | Cancel/Reschedule Class › Reschedule | The same cancellation rules, plus a target session the booking engine refuses or that falls outside the rescheduling window (Select against the Rules) |
| Take a member out of a session | Session Members › Remove, or Delete the Session, with Member-caused selected | The package's cutoff and frequency rules |
| Assign a trial package a second time | Assign a Package | The same trial package can only be given to a member once |
When canceling or rescheduling for a member
In the Cancel/Reschedule Class window on the member's page, the buttons of a class that a rule blocks stay open for Owners and Admins, and the row reads With Owner or Admin approval. For how the window works in general: Cancel or reschedule a class for a member.
On the member's page, press Cancel/Reschedule Class.
The member's upcoming classes are listed, each with its last change time.
Press Cancel (to the Pool) or Reschedule on the class's row and confirm.
If a rule blocks the action, the window names the rule, the last change time and the credits used.
Press Approve the Override.
A confirmation asking for a reason opens.
Under Reason, write why you are going past the rule.
Press Approve the Override.
The action goes through; the member and the instructor are notified and the reason goes into the audit log.
When rescheduling, a session marked Not Eligible in the target list carries a Select against the Rules button. The confirmation it opens asks for the reason straight away, and Approve the Override completes the move.
When removing a member and for trial packages
- When you take a member out of a session or delete a session and Member-caused runs into a rule, the window shows a Rule block. Write a Reason and press Approve the Override: Add members to a session.
- When you assign a trial package the member already had, the Assign a Package window shows the block. Go on with Approve the Override and a reason: Trial packages.
Adding an ineligible member is not a rule override
Adding a member that a session rule refuses, such as a level mismatch, needs no Owner or Admin approval. Anyone in the Owner, Admin or Staff role can add them with Acknowledge the Warning and Add and a written reason; that reason goes into the audit log too. See Add members to a session.
