Before you start
The Cancel/Reschedule Class window lets you do for a member what they can do in their own app: cancel or reschedule a class. The package's rules apply just the same. You open it from the member page:
- The Cancel/Reschedule Class button on the header of the Classes card.
- The More actions (⋯) menu in the page header.
Cancel a class into the pool
On the member page, press Cancel/Reschedule Class.
The member's upcoming bookings are listed under Upcoming Classes.
On the card of the class to cancel, press Cancel (to the Pool).
A confirmation window opens.
Confirm with Cancel the Class.
A "The class was canceled" message appears; the member and the instructor are notified.
Move a class to another session
On the class card, press Reschedule.
The Target Sessions are listed, the fullest session first.
Press Select next to a suitable session.
A confirmation window shows the current and the new session.
Confirm with Reschedule.
A "The class was rescheduled" message appears; the member and the instructors are notified.
The top of the list names the class being moved, the package and the target window. The targets are the sessions inside the package's rescheduling window that the package covers. A full session is marked Full - the waitlist is open; you add the member to its waitlist from the session's own window: Manage the waitlist.
Spend a make-up credit
In the Active Packages section of the member page, press Use on the make-up line under the package. The line shows the package's make-up credits and when the first of them expires.
The Cancel/Reschedule Class window opens with the sessions the credit that expires first can be used on.
Press Select next to a session.
A confirmation window opens.
Confirm with Use the Credit.
A "The make-up credit was used" message appears; the member and the instructor are notified.
A restricted credit is used within the package's rescheduling window; an unrestricted one is valid until the package ends. The list shows when each credit expires.
How the package rules apply
Each class card shows the package's make-up policy and, where there is one, the Last change time. A button a rule closes stays grayed out with a note saying why:
- Poolable and Reschedulable: the class can be canceled into the pool or moved to another session.
- Reschedulable: the class can only be moved; Reschedule only shows by the cancel button.
- No Make-up Credit: the class can be neither canceled nor moved; the card shows No make-up credit.
- Last change: the last moment the package allows, with how many hours before the class it is. Once it has passed, the card shows Cutoff passed.
- When the package's weekly or per-package cancellation allowance is used up, the action is refused as Allowance used up.
You set these rules when you define the package: Set make-up rules.
Get past a rule
Users with the Staff role cannot do what a rule refuses; the window says "This action needs Owner or Admin approval." For Owners and Admins the refused buttons stay open, with With Owner or Admin approval beside the note. In the target list, a session that is not eligible offers Select against the Rules as well.
