Manage a repeating series

Series and detached sessions

A series is a set of sessions created with Repeat this session turned on, repeating on the days you picked (Add a session). Each repeat is its own session on the calendar. When you open a session of a series, the top of the window shows Series with its days and date range.

When you change a session for itself alone, it leaves the series and the top of the window reads Detached from the series. From then on, changes to the series no longer reach it; you edit it on its own.

Edit a session in a series

   On the calendar, choose Edit in the session card's "⋯" menu.

   The Edit Session window opens.

   Change the time, room, instructor, capacity or any other field you need.

   Press Save.

   You are asked which sessions the change applies to.

   Choose Only this session or This session and the repeats after it.

   Press Confirm.

   The message "The session is updated" appears; when several sessions changed, it says how many.

Only this session

Only the session you opened changes, and it leaves the series. The other repeats stay as they are.

The session you opened and every later planned session still in the series change the same way. Each keeps its own day; if you changed the date, the later sessions shift by the same number of days.

• If the change creates a room or instructor conflict in any of the sessions, nothing is saved. Clear the conflict and try again.
• Capacity cannot go below the number of members already registered. Raising the capacity of a full session offers the spot to the first member on the waitlist.
• When the date, time, length, room or instructor changes, the members in the session and the instructor are notified.

End a series from a date

If the class is not running any more, end the series from a session you choose. The end starts on the day of the session you opened, and that session is canceled too.

   On the calendar, choose Edit in the "⋯" menu of the first session that will no longer take place.

   The Edit Session window opens.

   Press Cancel the Series From This Date at the bottom of the window.

   The End the series from this date window opens.

   If you like, write a reason under Reason for ending.

   Press End the Series.

   The message "The series is ended" appears with the number of canceled sessions and refunded members.

• Planned sessions on that day and after it that have not started are canceled.
• Registered members get their credits back in their packages, and their standing places in the series end.
• The waitlists of those sessions close; the members and the instructor are notified.
• Earlier sessions, sessions that took place and sessions that left the series stay as they are.

Standing members when a series changes

Members added as standing members of a series keep their place in its upcoming sessions. When the sessions' time, room or instructor changes, their bookings stay on the same sessions. To add a standing member: Add members to a session. For the seat of a standing member whose package ended: Standing seats in a series.
