Five compensation types
Every definition starts with the Compensation Type, and each type asks for a different amount:
| Compensation Type | Amount entered | How it is calculated | Bonus allowed |
|---|---|---|---|
| Monthly Fixed | Salary | A full month worked earns the full salary. | Per-Class Bonus and Per-Member Bonus |
| Weekly Fixed | Salary | One weekly salary for every Monday of the month. | Per-Class Bonus and Per-Member Bonus |
| Per Class | Per-Class Fee | Classes held × the fee. | Per-Member Bonus |
| Per Participant | Per-Member Fee | Members who attended × the fee. | Per-Class Bonus |
| Revenue Share | Share of Revenue | A percentage of the total class value of the instructor’s classes. | None |
Fees per class
An instructor can earn a different fee in different classes. A staff member’s compensation takes one Compensation Type:
- Monthly Fixed, Weekly Fixed and Revenue Share apply to the staff member as a whole.
- With Per Class or Per Participant, the fee is entered class by class: each row holds one or more classes, their fee and, if you like, a bonus. Reformer and Yoga at 500 TL and Zumba at 300 TL, for example. Add Class Rate opens a new row.
- A class can be in one row only. A class in no row earns nothing.
Bonuses
A bonus is optional; left blank or at 0 there is none. It is entered as an Amount or a Percentage:
- Amount: that amount is paid for every class, or for every member who attended.
- Percentage: a share of the instructor’s own pay, not of the class value. A fixed salary counts in full; for Per Class and Per Participant the fee is the base. A weekly salary of 2,000 TL with a 1% Per-Class Bonus, for example, earns 20 TL a class.
What the calculation counts
- Class held
- A session whose start time has passed, that was not canceled and that still has at least one active booking. A session with no active booking earns nothing.
- Member who attended
- A member marked Attended in attendance. A member marked No-show or still Unmarked does not count.
- Class value
- What each attending member’s class is worth, from the package that paid for it. For a package with credits, the member’s package price is divided by its credits. For a duration package, the price is divided by its number of weeks times its weekly class limit; with no weekly limit, one class a week is assumed. For a member who came with a partner card, the partner’s visit rate is used. A member without a package is worth 0.
Compensation is calculated live
Compensation is recalculated with current data every time you open it; there is no month-end close. Attendance taken late, a package price edited or a back-dated definition changes the compensation of past months too.
You see a month’s calculation on the Compensation and Payments card of the Staff Details page, in the table under Calculation: each line’s quantity, rate and amount, closed by a Total Compensation row when there is more than one line. If the definition changed mid-month, or the employment covers only part of the month, the days each definition governed are written above the table. A line that comes from a class’s own definition carries the class name. A month that produced no lines shows the definition in force and why, in place of the table.
Change the definition
The Compensation Definitions card on the staff member’s Staff Details page lists the definition in force and the changes set for later dates: each row shows its classes (General for a staff-wide one), the fee and the effective date; classes with the same fee share a row. Rows in force today are marked Active, the rows of every change set for a later date Planned.
On the Compensation Definitions card, press Change Definition. If there is no definition yet, the button reads Add Definition.
The Change the Compensation Definition window opens with the definition in force.
Edit the Compensation Type and the fees. For a Per Class or Per Participant definition, open a row for another class fee with Add Class Rate and delete the rows you no longer need.
Choose the Effective Date.
Press Save the Definition.
The message "The compensation definition is changed" appears.
From its effective date the new definition replaces the old one entirely: a class you leave out earns nothing after that date. Definitions are never overwritten; each class is settled with the definition in force on its date. The card shows the definition in force and the planned ones; earlier ones keep settling the past months.
A definition that has not started yet can be deleted. Open the "⋯" menu at the end of a Planned row and choose Delete Plan; the window lists every row of the definition starting on that date, and Delete Plan deletes it. The definition before it stays in force after that date.
