Before you start
- Only Owners and Admins can record a payment.
- The instructor needs a compensation definition: Compensation types and calculation.
- The account the money leaves from has to exist: Payment channels and account movements.
- If you are paying a past month, finish its attendance first; unmarked members do not count toward the compensation.
See what is owed
The Compensation and Payments card on the Staff Details page calculates the selected month live. Three figures stand beside the month picker at the top of the card: Compensation, Paid and Outstanding. The Compensation This Month and Pending Payment tiles at the top of the page are figures only; their breakdown is this card.
Change the month with the month picker at the top left of the card. The month’s lines are in the table under Calculation, and the payments recorded for that month are listed under Payouts with their date, account and who recorded them. If a past month has sessions missing attendance, a warning at the top of the card lists them; pressing one opens its attendance. Sessions that earned nothing because their class had no rate are listed there too, by class name; Change Definition adds the rate.
When the payments go past the month’s compensation, Outstanding reads 0 TL and an Overpaid chip with the extra amount stands beside it. That happens, for example, when a back-dated definition lowers a month that was already paid; take the amount into account in a later payment.
Record the payment
On the Business › Staff page, press the instructor’s card.
The Staff Details page opens.
On the Compensation and Payments card, choose the month you are paying.
Press Pay the Instructor at the top of the page.
The Add Expense window opens as Staff Compensation. The instructor and the Settlement Month are already chosen, with a summary of the unpaid compensation under them.
Check the Payment Amount.
It suggests the unpaid compensation of the selected month. Change it for a partial payment.
Choose the Payment Date and the Account the money leaves from.
If you like, add a Description and a Note. Left empty, the description reads "Full Name - Month compensation".
Press Save the Payment.
The message "The payment is recorded" appears; the payment joins the Payouts list and Outstanding goes down.
How the payment shows in Finance
The payment is written to the Finance › Expenses list as a Staff Compensation expense and comes off the account you chose. In the expense summary it counts toward the Staff Compensation total.
- Each month’s compensation is due on the last day of that month. The summary in the Add Expense window marks months past their due date Past due.
- A payment recorded by mistake can be canceled from the Finance › Expenses list; a canceled payment no longer counts as paid: Record expenses.
