Staff and roles
Dakik has four fixed roles: Owner, Admin, Staff and Member. The Owner opened the studio and alone gives the Admin level; Staff run the calendar, members and taking payments but never see the finances. Staff are added through the New Staff Member form and get an invitation valid for 7 days. An instructor's hours off are blocked on the Availability card, and every staff member sees their own month and pay on their Profile page.
First 30 days free · No credit card required
Four fixed roles
Owner, Admin, Staff and Member; the Role Permissions table says who can do what.
Accounts by invitation
Staff are added with their email address and open their own account through a link valid for 7 days.
Availability blocks
Days off and hours free every week are blocked; no session can be scheduled with that instructor then.
Their own page on the phone
Staff see their next class, classes missing attendance and their pay on their Profile page, from their phone.
What are the roles, and who can do what?
The info button beside Permission Level on the staff form opens Role Permissions: one row per permission, one column per role. The Owner reaches everything, and Studio Setup, branches and giving the Admin role are theirs alone. Admins run the finance and business pages. Staff work with the calendar, members, package sales, attendance and taking payments. A Member sees only their own screens.
- The roles are fixed; a studio cannot define its own, and permissions cannot be switched one by one
- The Owner role is never given, it comes with the studio; a staff record gets Admin or Staff
- A session's own instructor can always take its attendance, whatever their role
- When the level changes, open sessions end and the person signs in again with the new permissions
How do you add and invite a new staff member?
On Business › Staff, the New Staff Member form takes the name, email, Staff Type (Instructor, Administrative or Other), Permission Level and pay; an instructor's classes are picked under Specialties. On saving, an invitation valid for 7 days goes to their email, and the record reads Invitation Pending until they open the link and create their account. No plan limits the number of staff.
New Staff Member
Press New Staff Member on Business › Staff and enter the name, the Email Address and the Staff Type.
Level and pay
Choose the Permission Level, then the Compensation Type and amount under Compensation.
Save and invite
Press Save; the invitation goes out, and Resend the Invitation sends it again if needed.
An Owner or Admin who also teaches opens an Instructor record for themselves with Create My Own Staff Record; their permission level stays the same and they can be picked as an instructor on the calendar.
How do you block the hours an instructor doesn't work?
Dakik takes no working hours: an instructor counts as available whenever they are not blocked. On Staff Details, Edit Availability on the Availability card adds two kinds of block: a Date range for leave or sick days, and Certain days and hours of the week for time off that repeats weekly. Adding a session with that instructor in a blocked hour raises an Instructor blocked warning, and it cannot be saved.
- The card lists the weekly blocks and the date ranges not yet over, with their hours and notes
- When a block clashes with booked sessions, the Blocking conflict window lists them
- Confirm and Cancel Them cancels those sessions, returns the members their credits and lets everyone know
- Instructors see their own blocks on the Availability card of their Profile page and ask an Owner or Admin to change them
What does a staff member see on their own page?
A staff member's menu is Calendar, Profile and Members. The tiles at the top of Profile give the Pending Payment, Compensation This Month and Classes This Month; below come Next Class, Needs Attention with classes missing attendance, Compensation and Payments by month, and Classes. On a phone the cards fold, with Next Class and Needs Attention kept open. Owners and Admins see the same layout on Staff Details.
- My Classes on the calendar shows only their own classes
- Every class missing attendance on Needs Attention has a Take Attendance button
- The details are read-only; name, phone and photo change under Settings › Account
For someone leaving, enter a Leave Date or make the record inactive; their future sessions are handed to another instructor or canceled, and their past classes and pay are kept.
Frequently asked questions
How many staff members can I add?
No plan limits the number of staff. The plans differ by active members and branches; add as many instructors, administrative and other staff as you need.
Can a staff member be given only some permissions?
No. The roles are fixed and permissions cannot be switched one by one. A staff record gets the Admin or Staff level, and only the Owner gives or takes Admin. The Role Permissions window shows what each level covers before you choose.
What if the invitation email does not arrive?
Choose Resend the Invitation in the More actions menu on Staff Details; the new link is valid for 7 days too. The email address cannot be changed in the app after saving, so for a wrong address, make the record inactive and add a new one with the right address.
What happens to a departing instructor's classes?
Saving the departure lists their future sessions; hand them all to another instructor with the right specialties, or cancel them. An inactive staff member cannot sign in, but their past classes, pay and payouts are kept, and unpaid pay still shows on Staff Details.
