Bookings, waitlists and standing seats
In Dakik, members are added to a session from the Session Members window, and each booking is checked against the member's package, level and class type and the session's capacity. A full session lines members up on its waitlist, and when a spot opens the next in line gets an offer automatically. A member who comes every week joins the series once, and their seat is held for a while after their package ends.

Checked as you add
Every member's row shows the credits left, the package end and a verdict: Eligible, Awaiting Package or Not Eligible.
A waitlist that runs itself
When a spot opens, the offer goes to the first member in line who can take it; if time runs out, it moves on.
Standing seats in a series
A member who comes every week is added to the series once; when their package ends, the seat is held for a while.
Overrides with a reason
Only an owner or admin can go past a package's cancellation rule, and the reason goes into the audit log.
How is a member added to a session, and what is checked?
In the Session Members window, opened from the session card, you search for the member by name, phone or email and press Add. Dakik judges every member for that session: whether the package covers the class and its class type, the credits left, the weekly limit, the level, the capacity and any other booking at the same time. The verdict on the row tells you what pressing the button will do.
- Eligible
- The member is added and a credit is set aside from their package.
- Awaiting Package
- No package of the member covers the session; the spot is held anyway and turns into a booking once a fitting package is assigned.
- Not Eligible
- The level does not match, or the member has another booking at the same time; adding them takes a written reason.
- At capacity
- The session has no free spot; the member can go on the waitlist.
- To put one member into several sessions, use Assign Session on Member Details: the next four weeks of sessions are listed against that member's package
- The Registered list shows how full the session is; nobody can be added to a full session or on a day their package is frozen, not even with a reason
- Taking a member out asks for the refund: Treat as never booked, Studio-caused or Member-caused
- If a Member-caused removal runs into the package's cancellation rule, only an owner or admin can go ahead, with a reason
How does the waitlist work?
When a session is full, members whose package covers it line up on its waitlist, and nothing comes off the package while they wait. When a member cancels or is taken out, or you raise the capacity, the offer goes to the first member in line who can take the spot right then. They take it with Join or pass with Decline, and an offer that runs out moves to the next member.
- The offer time is set under Settings › Notifications, in the Waitlist confirmation field of the Reminder Timing card: 120 minutes by default, anywhere from 5 to 1440
- A member who cannot take the spot right then (no credits left, or the weekly limit used up) is passed over and keeps their place
- Each row shows the place in line and its state; while there is a free spot, Add Directly seats the member at once, and Take Off the List removes them
- The offer reaches the member in the app, by push if they turned it on, and on WhatsApp if the studio uses it; it is not held overnight
Turning off Session open to rescheduling on a session closes its waitlist too.
How is the seat of a member who comes every week held?
Choose Standing member of the series when you add a member to a session of a series, and Dakik books them into every session of it their package covers. When the package ends, the seat is held for the package's Seat Hold Period, with their spot shown as Awaiting Package. If they renew, they carry on where they left off; if not, the seat is freed and offered to the waitlist.
- The Seat Hold Period is set per package: 7 days on a new package, up to 60; with 0 the seat is freed as soon as the package ends
- The Standing Seats card on Member Details spreads the member's seats over the days of the week and shows the state of each series
- Owners and admins see standing members whose package ended on the Standing Members Awaiting Renewal card of the Overview
- Hold the Seat extends the hold to at most 90 days from today; Bring Back to Series and Remove from Series sit on the same row
A frozen package keeps the seat; a freeze does not start the hold.
Frequently asked questions
Can a member without a package be booked into a class?
Yes. The member is added to the session as Awaiting Package and the spot is held. Once you give them a package that covers it with Assign a Package, those bookings turn into reservations on their own and the credits come off the new package. Until then, the member's Needs Attention card carries a line about the sessions waiting for a package.
Can staff go past a package's cancellation rule?
No. Only an owner or admin can approve an action past the cutoff or over the allowance, and they have to write a reason; staff see a note saying so beside the block. Adding a member whose level does not match is not an override, though, so staff can do it with a reason too. Both reasons go into the audit log.
Can members join a waitlist themselves?
Yes. When a member reschedules a class or uses a make-up credit and the session they pick is full, Join the Waitlist puts them in line. The sessions they wait for show as dimmed rows on the Classes card of their Profile page, and Leave the List takes them out whenever they like.
Can a member be added to a full session over its capacity?
No, not even with a reason. To make room, raise the capacity of the session; the moment you do, the freed spot is offered to the next member on the waitlist. Capacity cannot go below the number of members already booked.
