Privacy consent and health notes

Where the privacy consent is recorded

Dakik records, for each member, the moment the privacy notice and consent text was accepted. The text is your studio's own; the Owner edits it from the Privacy Notice / Consent Text row of the Studio Details window. Consent is given in these places:

• The New Member form: Privacy Consent is required, and its link opens your studio's text. Ticking it records that the member accepted the text.
• The trial class page: the person booking themselves in ticks the consent box on the form, and the consent is recorded there and then.
• The invitation page: a member who activates their account by setting a password is also asked to tick the consent box. Its link opens Dakik's platform-wide Member Privacy Notice, not your studio's own text. This box is not recorded separately and does not change the Privacy Consent row.

A recorded consent shows as Consented, with its date, on the Privacy Consent line of the Member Information card on the member page. The member sees the same on their own Profile page.

The missing-consent warning

For a member with no consent on record, the Member Information card says No consent on record and the alert card of the member page carries a No privacy consent line.

Who sees the health notes

The note written into Health Notes is special-category personal data, marked with a lock on the form.

• Users with the Owner, Admin and Staff roles see it in the member list, on the member page, on the member form and in session screens. On the member page the note sits in the Health Note card at the top of the profile column; press or hover the lock in its title to see who can read it. With no note entered, the card does not show.
• A screen that may not show it shows a locked field in its place.
• The member sees their own note on the Personal Details card of their Profile page, and can update it themselves with the Edit button on the Health Notes row.

When the member changes or clears their note, the instructors of the upcoming classes the member is booked into get a Health Note Updated notification in the app. The notification does not carry the note; tapping it opens the member's page, where the instructor reads the current note. A member with no upcoming class changes their note without notifying anyone, and Owners and Admins do not get this notification.

Where health notes never go

• The member list downloaded with Export CSV leaves health notes out on purpose: the file leaves your studio's control.
• When a member is deactivated, their health notes are deleted: Deactivate a member.
• When a member is deleted, their health notes go with the rest of their personal details: Delete a member.
• If you use the WhatsApp assistant, it receives the member's message and their classes, packages and payments; health notes are never sent to it.
