What the assistant does
Your members can write to the studio's WhatsApp number to ask about their next class, the credits they have left and their payments. The assistant can also do by message what the member can do in the app:
- Cancel a class, or move it to another session.
- Book a class with a make-up credit.
- Join or leave a waitlist, and take or pass on a spot that opened up.
- Freeze a package.
- Turn the studio's WhatsApp reminders and notifications off or back on for the member.
Before every action it writes what it is about to do and asks the member to confirm. The app's rules apply here too: it does not do what the package does not allow, and says why. For anything else it shows the member the page in the app or hands the chat to your team; Owners and Admins then get a WhatsApp Assistant Handoff notification in the app and you reply from the studio's phone.
- The assistant only answers active members writing from the phone number recorded in Dakik. It does not answer unknown numbers, inactive members or group chats; you answer those from the phone.
- It replies in the language the member writes in, Turkish or English.
- It cannot listen to voice notes and asks the member to write instead. Photos and documents go to your team.
Before you start
- The WhatsApp Assistant comes with the Pro plan and is also available during the trial. If your plan does not include it, the assistant card does not appear on the Notifications page at all. Write to us to move to Pro and our team makes the switch: Change your plan.
- The studio's WhatsApp number has to be linked. If it is not, the card reads Link the studio's WhatsApp number before switching the assistant on.: Connect WhatsApp.
- Owners and Admins can set up the assistant.
Switch the assistant on
Open Settings from your profile menu at the top right and go to the Notifications page.
The WhatsApp Assistant card is under the Reminder Timing card.
Turn on the switch in the card's header.
The message "WhatsApp Assistant saved" appears, the switch reads On and the assistant's settings open on the card.
The assistant's settings
- The assistant can take actions
- On by default. When off, the assistant only answers questions and sends members to the app for anything else.
- Tone
- Formal writes the way you would to a client, Casual the way you would to a friend. Formal by default.
- Assistant's name
- It introduces itself with this name in its first message to a member; up to 40 characters. Left empty, it uses your studio's name.
- Silence after your team takes over
- When you write in a chat from the studio's phone, or the assistant hands a chat to your team, it stays silent in that chat this long. 1 to 72 hours; 12 hours by default.
Change the settings.
Press Save Assistant.
The message "WhatsApp Assistant saved" appears.
The monthly reply allowance
The card shows how many replies were used this month against the allowance, for example "1,200 of 5,000 replies used this month". The allowance renews at the start of each calendar month.
- When most of the allowance is used, Owners and Admins get a WhatsApp Assistant Quota Running Low notification.
- When it runs out, they get WhatsApp Assistant Quota Reached, and your team answers members until the month ends. The assistant tells the member once that the team will reply.
- If a member sends a great many messages in a short time, the assistant goes quiet in that chat for a while and hands it to your team.
