Finances and profit and loss

Dakik's Finance section shows the studio's money by month or by year. The Summary page carries the Total Income, Total Expenses and Net Profit or Loss cards, an Expense Breakdown by type and a Receivables Summary of what members owe. The report is cash basis: an amount lands in its payment month. Income and expenses keep their own lists, downloadable as CSV, and Payment Channels shows which account the money moved through.

  • Cash-basis profit and loss

Income and expenses land in the month of their payment date; pick a month or a year, and the year shows each month net.

  • Income, expenses and templates

Rent, utilities and supplies are recorded by expense type; a template fills in the expense you enter every month.

  • Account movements

Income, expenses and balance for the period on every till and bank account; press a card to list its movements.

  • CSV export

The Income, Expenses, Open Receivables and Partner Earnings lists download as CSV with their filters.

How do you read profit and loss in the finance summary?

Finance › Summary gives the money of the selected month or year in three cards: Total Income, Total Expenses with staff compensation payments included, and the difference, Net Profit or Loss. A loss shows in red with a minus sign. It is cash basis, so a package sold in September and paid for in October counts as October income. Yearly Profit and Loss lays out each month as income, expenses and net.

Counted
Payments from members, other income, partner payouts, expenses and staff compensation payments, in the period of their payment date.
Not counted
Canceled records, the price of a package sold, unpaid installments, what partners are expected to pay and compensation staff have not yet been paid.
Receivables Summary
Looks at today, not the period: open installments past due and upcoming, plus the total members owe and the compensation still unpaid.
  • The page is open to the Owner and Admin roles only
  • Pressing a month in the yearly chart or table moves the whole summary to that month
  • Dakik does not prepare tax or VAT reports

How are income and expenses recorded?

Payments taken from members reach the Income list on their own; income with no member is entered through Add Income as the Other type. Expenses go in through Add Expense under one of nine expense types, such as rent, utilities, supplies or marketing, and the Summary's Expense Breakdown card splits them by type. For expenses entered the same way every month, Expense Templates fill in the form; you still save it yourself.

  • Pressing a row of the Expense Breakdown card opens Expenses filtered to that type
  • A payment to an instructor is recorded with the Staff Compensation payment type, choosing the person and the Settlement Month
  • Records are never deleted, only canceled; a canceled record stays on the list and leaves the totals
  • What partner cards owe for their visits, and what they have paid, is followed on the Partner Earnings page

Dakik does not import bank statements or invoices; every expense is entered by hand.

How do you see which account the money went through?

Finance › Payment Channels holds two kinds of record: payment methods, which say how the money was paid (cash, credit card, bank transfer), and accounts, which say where it went in or came out (the till, a bank account). Each one is a card with the Income, Expenses and Balance of the selected period. Pressing a card lists the income and expenses booked to it, with their dates.

  • Balance is the period income minus its expenses; with no opening balance, it is not what the bank shows
  • A method or account no longer used is closed with Deactivate; past records are kept
  • Taking a payment from a member needs at least one active payment method and one active account

Dakik does not record transfers between accounts and does not connect to your bank.
