The Overview and its key figures

The Overview gathers the studio's day and month on one page for Owners and Admins. Twelve cards at the top count active members, the week's classes and occupancy, the month's cash-basis income, expenses and net, what members owe, what staff are owed, the Renewal Opportunity and sessions missing attendance. Below sit a six-month income and expense chart, twelve weeks of occupancy, Today's Classes and the installments due soonest.

What do the figures on the Overview count?

The twelve cards at the top count the studio's week and month: members, classes and occupancy, the month's cash-basis income, expenses and net profit or loss, open installments and the pay owed to staff. Each card opens the page behind it; Outstanding Balance, for instance, opens Open Receivables, and Renewal Opportunity opens the Members list filtered to those whose package is about to end.

Active Members
Members who are not inactive and have a running package; the card opens the Members list filtered to them.
Net Profit-Loss This Month
The month's cash-basis income minus expenses; like Total Income This Month and Total Expenses This Month, it opens the finance summary.
Owed to Staff
Pay staff have earned but not yet received, with how many people it is owed to; the card opens the Staff page.
Renewal Opportunity
Members whose package ends in under 10 days; the card opens the Members list with the Ending Soon filter.
Past Sessions Missing Attendance
Past sessions whose attendance is not finished; the card opens the calendar's list view filtered to them.

What does Today's Classes show?

The Today's Classes card lists the day's sessions in time order: each row gives the start and end time, the class, the room, the instructor and the occupancy, such as 4/6, and the session running now is marked. Pressing a row opens the session, and Go to the Calendar opens the full calendar. With no sessions today, the card says so and offers Add Session.

  • The Open Receivables card beside it shows the open installments due soonest, and See All opens the whole list
  • The Standing Members Awaiting Renewal card counts members whose package ended while their seat is held
  • The Today's Reservations figure adds up the booked spots across the day's sessions

How do you follow occupancy and the income trend?

Two charts stand side by side under the figure cards. Weekly Occupancy, Last 12 Weeks shows the average occupancy of each week, canceled sessions left out, with an Average line and the This week value; it is where empty hours show up. Income and Expenses, Last 6 Months compares the monthly cash-basis totals. For every month of the year, see Yearly Profit and Loss on Finance › Summary.

  • The figures and charts are worked out from the records on their own; there is no report to prepare
  • Detailed records download as CSV from the Income, Expenses and Open Receivables pages
  • The Overview and the finance pages are open to the Owner and Admin roles only
