Before you start
A partner card program holds the terms of a corporate card you accept. A card holder books classes without buying a package, and the card provider pays you for each visit. Owners and Admins manage programs on the Business › Partners page.
- The classes the card covers must already exist under Business › Classes: Create classes.
- A program covers a single class type. For a card that takes both group and private classes, set up two programs.
Add a program
On the Business › Partners page, press Add Partner Card.
The Add Partner Card window opens.
Fill in the Card Name and the Visit Rate.
Enter the Daily Class Limit and the Late Cancel Window as your agreement says.
Under Visits the Provider Pays For, switch on the ones your agreement covers.
Choose the Class Type.
The Classes the Card Covers table lists only classes of that type.
Tick the classes the card covers; enter a Extra Fee and Seats per class if you need them.
Press Save.
The message "Partner card added" appears and the program shows in the list as a card.
What the fields mean
- Visit Rate
- What the card provider pays the studio for each visit.
- Daily Class Limit
- The most classes a member can attend with the card in one day. 1 by default, 10 at most.
- Late Cancel Window
- A cancellation up to this many hours before the class is not counted as a visit; one made after that is a late cancel. 12 hours by default.
- A late cancel counts as a visit
- When on, late cancels are added to what the provider pays. Off by default.
- A no-show counts as a visit
- When on, a member who booked and did not come counts as a visit too. Off by default. A member who attends always counts.
- Extra Fee
- What the member pays on top of the card for this class. It shows in the visit records and the settlement.
- Seats
- How many card holders one session may take. Leave it blank for no limit.
Edit, deactivate or delete a program
Press Edit on the program card.
The Edit Partner Card window opens.
Change the terms, or choose Inactive under Status.
Press Save.
- Changes apply to bookings from then on. Seats already booked with the card keep the visit rate and extra fee they were booked at.
- An inactive program cannot be given to members as a new card.
- Delete at the bottom of the window only deletes a program that was never used. If members were given the card, someone booked with it or a payment was recorded, the delete is refused; deactivate the program instead.
Next steps
Once the program is ready, give card holders their card: Give a member a partner card. You follow what the provider owes and the visits that count in the partner settlement under Finance: Partner earnings.
